How to use TPP SystmOne Communications Annexe
We will sometimes send you a link to reply to a message, send us a photo, book an appointment or complete a questionnaire. This is done through a system called Communications Annexe, linked to our clinic system - TPP SystmOne. The link can be sent via SMS or email.
This leaflet explains how to use Communications Annexe.
Reply to a Message/Send a Photo
- A member of staff may send you an email or text containing a personal reply link - the link is valid for 7 days.
- Click the link and enter your date of birth in the format: dd/mm/yyyy
- Enter some text in the reply box and attach your photo. Click SEND and you will get a confirmation message.
- Please do not send photos of intimate areas.
- Your photo will be added to your medical record and used for your clinical care.
- Your photo/message will be reviewed by a member of staff and saved to your medical record if appropriate.
No Username or Password Needed
- Communications Annexe messages will arrive as NHS-NoReply text messages or an email from a nhs.net address.
- Please do not reply directly to the email or SMS - this may not be seen and will not link to your medical record.
- To respond to any message, you will only need your date of birth. No username or password is needed.
- Click the link and enter your date of birth in the following format: dd/mm/yyyy
- If your device will not allow you to type in the date, pick the year then the month from the drop downs and then the day from the calendar.
- This ensures your answers are connected to your SystmOne GP medical record.
- Links are active for 7 days and can be used once only.
- Click submit and you are ready to respond.
- Your answers are reviewed before adding to your medical record but there may be a delay in this - therefore, please contact the surgery directly if you have any urgent concerns.
Book an Appointment
- You will receive an email or text containing a personal link - the link is valid for 7 days.
- Click the link, select a date range from the drop-down box, click Search then click on the date/clinician of your choice.
- Click on the time of your choice, check the details, and click Book Appointment. You can print the details if you wish.
Complete a Questionnaire
- You will receive an email or text containing a personal link - the link is valid for 7 days.
- Click the link and enter your date of birth in the format: dd/mm/yyyy
- This ensures your answers are connected to your SystmOne GP record.
- Please read any instructions and answer all the questions that are applicable.
- Questions marked with a * are mandatory.
- There are usually some useful links within the questionnaire – you can also find these on our website.
- You can print a copy of your answers if you wish.
- Click Submit to send your answers to the surgery.
Receive a Document
- If we send you a document, you will receive an email or text containing a personal link and an Access Code.
- Click the link and enter your Access Code and date of birth in the format: dd/mm/yyyy
- This will allow you to view and print the document if you wish.
